JOB TITLE:  Medical Administrative Assistant

 JOB SUMMARY:

The full time medical administrative assistant works along with the billing team, and receives intake calls, schedules intake appointments, verifies insurance coverage, completes BHP insurance registrations, and completes fee sets. The medical administrative assistant serves as the primary back up for reception. The medical administrative assistant provides administrative support to clinical and administrative departments.  The medical administrative assistant will also provide coverage on evenings (Monday & Wednesday until 6pm and Tuesday & Thursday until 8pm) and as needed for lunch and vacation/sick time of regular receptionist.

                                               

DUTIES AND RESPONSIBILITIES:

  • Taking intake calls and setting up Credible file in conjunction with intakes.
  • Complete fee sets for intake appointments, both in person and electronically. Serve as back up organizer of DocuSign, attaching fee sets as needed.
  • Verifying commercial insurance, registrations & re-registrations for services with CT BHP program.
  • Fee sets for intake appointments, both electronically and in person. Serve
  • Back up for medical records requests for DSS, outside agencies and subpoenas.
  • Front desk coverage as needed (Monday & Wednesday 4-6pm and Tuesday & Thursday 4:00 pm -8:00 pm), completing all duties and tasks required of the receptionist.
  • Provides ongoing and as required administrative support to clinical and administrative departments (examples:  Review of notes, intakes and discharges, copies, etc.).
  • Performs all other duties as assigned by supervisor.
  • Maintaining intake schedule in Microsoft teams, including coordinating schedules with clinical staff.

QUALIFICATIONS:          

Knowledge of administrative and clerical procedures, High School Diploma required.  Excellent written and verbal communication skills, attention to detail with excellent organizational skills.  Must be reliable and have the ability to multitask in a fast-paced environment.  Bilingual candidates preferred; all candidates considered.
